Position Description:

This role is a middle to senior position in the Regional Global Events team within Communications, Marketing and Corporate Affairs (CMCA), based in our Tokyo office. This role is critical in delivering our branded client experience and thought leadership to our clients, as well as high-impact internal senior leadership events for Japan. There are also marketing and communications elements to this role to ensure our brand and message is properly portrayed not only through the client events, but across all collateral in country.

This position is heavily focused on regional and global collaboration, regularly interacting with colleagues across APAC and the rest of the world, to ensure we deliver consistently.

  • Serves as an advisor and event management expert, proposing value-add event activity and direction around marketing initiatives and priorities. This includes working with the lines of business on the strategic objective and program plan for each event, alongside the regional Marketing & Events team to ensure alignment

    • Builds and fosters working relationships with business heads, internal clients and regional colleagues

    • Fulfils all reporting duties and has an in-depth knowledge on all internal processes and procedures required to plan an event both in-person and virtually

  • Works on events from conception to reconciliation; including pre-event organization, budget management, technical arrangement, onsite/virtual execution, staff management, senior management liaison, final cost analysis

    • Delivers flawless events; including overall management of the event, working directly with the business, providing final cost analysis

    • Manages all logistics on-site/virtually and is responsible for making decisions and ensuring the flawless execution of event

    • Responsible for budget and timeline, choosing a venue/virtual platform, negotiating with suppliers, preparing creative collateral, ensuring all events are within corporate guidelines

    • Measures the success of each event with the right metrics

  • Manage project teams and drive the growth of the Japan/regional Events team alongside the regional head

    • Be a culture carrier both for the Events team in Japan and regional team as well as the CMCA team

    • Lead by example and help to develop team members professionally

    • Help to drive regional and global collaboration to improve communication and best-in-class delivery

  • Proactively works to mitigate risk and follows all processes and procedures, as an enterprise control function

    • Ensures events are planned within company guidelines and manages the risks associated with events to protect the brand.  Proactively engages regional Compliance, Legal, Risk, Corporate Security, Corporate Communications and other key regional and local partners as needed

    • Ensures there is a strong culture of compliance and risk management within the Japan team

  • Work closely with regional Marketing Relationship Managers to maximize the impacts of our events from a marketing perspective

    • Ensure events meet local marketing objectives (review/suggest new ideas as necessary to ensure topics at our events are relevant)

    • Explore holistic marketing opportunities for events, such as creating Japanese videos and using the Japanese hub, in line with some of the things the region/global is doing

  • Manage other marketing deliverables including the local language website, event invitations/ collateral, office and local collateral branding etc

  • Reports to Asia Pacific Head of Global Events with a matrix line to the Japan Head of CMCA

    • Works closely with regional marketing relationship managers and regional event leads to maximize opportunities and fully leverage the Japan, APAC and global event platform.

Skills Required:

  • Native in Japanese and fluent in English to be able to to communicate with internal and external stakeholders

  • Have a natural ability to build relationships with key partners & manage relationships

  • Ability to multi-task and a strength in time management

  • Previous experience in a similar role for a financial institution, hotel, large corporate or within the MICE industry, preferred

  • Experience managing a team or in a leadership position in a project setting

  • Experience in managing external client events, including conferences, higher end/premiere hospitality and virtual events, as well as internal senior management events

  • Comfortable working in a fast paced environment with demanding and challenging event hosts 

  • Excels under pressure and confident handling last-minute details and changes 

  • Proficiency in Microsoft applications and with the ability to learn many internal processes and procedures and keep up to date with the most recent training as a priority

  • A strong team player with excellent communication skills in both English and Japanese; ability to partner well with all levels in the organization and work well in a team environment

  • Professional demeanor; positive and enjoys coming to work and interacting with others; decisive with strong interpersonal skills
