Job Description

We are seeking an experienced Administrative Assistant with a background in Investment Banking to join our Dublin office. This role provides high-quality administrative and organisational support to Global Corporate & Investment Banking (GCIB) bankers, operating in a fast-paced environment and supporting multiple stakeholders across GCIB.

You will act as a trusted partner, ensuring smooth day-to-day operations while contributing to a high-performance culture that values excellence, integrity, collaboration, and inclusion.

Responsibilities

  • Manage complex diaries, including scheduling internal and external meetings

  • Coordinate meeting logistics, including room bookings and catering arrangements

  • Arrange conference calls and video meetings (Webex, Zoom, Teams) for internal and external stakeholders

  • Coordinate complex domestic and international travel arrangements

  • Process expenses via Concur, with a solid understanding of internal policies

  • Manage invoices through Appian

  • File weekly call reports using Salesforce

  • Proactively flag any out-of-policy expenses to the Business Manager

  • Build strong understanding of bankers’ clients, transactions, and key relationships

  • Develop effective working relationships with internal stakeholders, peer assistants, and external clients

  • Handle sensitive and confidential information with discretion

  • Manage incoming calls professionally and take ownership of queries

  • Build working knowledge of internal systems (training provided)

  • Support visiting bankers with access arrangements and office coordination

What we are looking for

  • Strong written and verbal communication skills

  • Confidence engaging with stakeholders at all levels

  • Proactive, organised, and able to work both independently and as part of a team

  • Ability to multitask and prioritise effectively in a high-pressure environment

  • Strong attention to detail and accuracy

  • Solid PC skills (Word, Excel, PowerPoint, Outlook)

  • Experience using Concur (preferred)

  • Typing speed of approximately 50 wpm

  • Flexible approach to working hours, including occasional out-of-hours support
