Job Description:
This job is responsible for providing diverse and confidential executive administrative support to the Regional COO Office. Key responsibilities include supporting COO with administrative tasks, calendar management, travel coordination & logistics, expense processing, preparation of executive materials, information gathering, reporting, and management of incoming communications. The role also supports the planning and coordination of meetings, regional events and off‑sites, requiring the ability to manage multiple priorities with professionalism and discretion.
Responsibilities:
· Day to day extensive administrative support for regional COO
· Proactively manages the COO calendar, Schedule meetings & room set up
· Arranges and handles details related to travel arrangements, expense reports, meetings and appointments
· Answers manager's phone line, documenting accurate messages, and handling calls with appropriate judgment
· Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills
· Ability to create PowerPoint presentations and executive materials for translating complex information into clear, concise, and decision‑ready formats
· Prepares correspondence, reports, and forms for leaders
· Supports any visiting senior traveling into Singapore
· Communicate with executives and line management to gather and convey relevant information
· Balances multiple and at times competing priorities with professionalism, responsiveness, and a service‑oriented mindset, maintaining confidentiality and exercising sound judgment at all times
