Job Description:
The PMO provides a single point of contact for program management related functions. Responsible for the execution of the program to ensure a coordinated delivery of the business outcomes and ensures that the programs maintain a standard project management approach. Creates a clear, coherent approach to guide effective program/project setup, execution, and control. Strong business centric mindset with ability to utilize sound business judgment and tailor approach to drive optimal business outcomes. Ensures clearly defined responsibilities and accountabilities for key program/project roles. Integrates knowledge of end-to-end business process into program planning and decisioning processes. Develop, maintain, and report on an overall integrated delivery plan. Management experience with small to mid-size teams. Accountable for tracking project milestones while developing, maintaining and reporting on an overall integrated delivery plan. Communicates, influences and negotiates both vertically and horizontally to obtain or leverage necessary resources. Excellent project management skills, including the ability to prioritize work and meet deadlines. Typically 5+ years of PMO experience including leading small PMO teams.
Responsible for supporting Global Real Estate Services (GRES) Capital Plan and Operations Integrated Facilities Management (IFM), Engineering and Environmental Health and Safety (EHS) Leads. GRES manages the bank’s global real estate portfolio 67MM sq.ft. GRES day to day operations are outsourced to three Facility Vendors (FVs). The GRES Capital Plan and Operations team has service line leads that oversee the FV COE teams with the primary goal of ensuring processes and procedures are managed consistently by each FV across the globe. The service line leads consist of Integrated Facilities Management (IFM), Project Management (PJM), Capital Plan/Capital Management, Engineering (including Energy & Sustainability), and Environmental Health and Safety (EHS). The role will support priorities and initiatives for the IFM, Engineering and EHS Leads. This role allows for broad access to all operational aspects of facilities management.
The PMO Manager is responsible for providing GRES service line support at several different levels. The position requires the candidate to have diverse administrative expertise and to oversee various processes and initiatives, to be able to think strategically, as well as perform in a proactive manner with limited supervision. The position also requires the individual to build and maintain relationships within operations team as well with FV COE teams, and work closely with other organizations within the bank. Successful applicant will have excellent organizational and time management skills, familiarity with MS applications and the ability to liaise with various business partners at varying levels of management.
Responsibilities:
Perform weekly invoice reconciliation processes for IFM, reviewing FV funding requests and GEP Smart submissions, approving and escalating as needed
Act as delegate to GRES service line leaders, ensuring our Process Owner Portal (POP) processes remain fully compliant with evolving enterprise requirements
Submit monthly SPI/POP updates (e.g. metrics, attestations, etc.); participate in cross-GRES POP/SPI routines
Review daily incident reports and communicate/escalate per defined protocols. Opportunity to help develop new incident reporting protocols.
Participate in facility vendor KPI and performance routines including monthly and quarterly metric inputs into ORCIT
Host IFM/Operating Expense Review meeting with FV Finance teams & RES Finance; opportunity to improve cross-GRES coordination with regional execution teams
Meet 2x/month with facility vendor initiatives teams to review status of in-flight IFM initiatives, provide input and direction (approval) for new initiatives requested from Bank teams (GT, P.S./SOACC, Life Safety, Retail, etc.)
Manage status of in-flight energy and sustainability projects that support bank’s emissions, energy and water reduction goals
Integrate with GRES Strategy service lines to ensure cohesive operational tactics; opportunity to contribute to GRES mandate to reduce administrative square foot
Enhancement of partnership across facility vendors and internal bank stakeholders
Enhancement of reporting and metrics to drive process adherence, effectiveness, and efficiency
Process oversight and controls to manage implementation of best practices in partnership with the Bank's outsourced facility partners
Required Qualifications:
Work experience in real estate operations
Experience engaging with and managing large, outsourced relationships
Strong presentation and documentation skills required for executive-level reporting
Ability to recognize gaps and execution risks and acumen to devise appropriate remediation plans
Ability to liaise with internal and external stakeholders and deal with people with different experiences and backgrounds and be able to get work done.
Strong Excel and PowerPoint skills
Highly motivated, proactive and a self-starter; strong sense of ownership & ability to create and execute plans without daily oversight
Proactive, well organized and results-oriented
Interpersonal skills to lead and participate within a diverse group of constituents which are distributed across functional areas and physical locations
Must have ability to work in a fast paced, cross-functional environment
Self-starter needing little guidance; capable of producing and iterating work as feedback is gathered from a wide range of stakeholders
Desired Qualifications:
4-year degree in business or technical field
Familiarity with POP Process Management. Optimally, existing Process Owner or Process Delegate.
Real Estate services or related property management experience strongly preferred
Engineering and/or Environmental experience strongly desired
Vendor Management experience
Familiarity with GEP Smart
