Position Description

This role aims to provide a high level of administrative and secretarial support to a busy and highly driven senior professional and a broader team of professionals based in Kuala Lumpur. The candidate is required to work with minimal supervision on a variety of tasks and projects. The successful applicant will need to be motivated, proactive and flexible, and have excellent secretarial and technical skills, excellent communication skills, and a desire to build a team culture.

Performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management team of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.

Arrange itinerary for regional bankers including setting appointments, meeting venues, all other relevant logistics, coordinate meeting materials and liaising with the related stakeholders.

Support Board members administratively.

As secretary to the management team, the candidate is required to organise the management meetings, prepare meeting materials, presentation slides and scribe minutes.

Key Responsibilities

  • Extensive diary management
  • Arrange client meetings and or events. Prepare agenda and compile client briefing notes for regional bankers
  • Answer incoming queries and redirect appropriately
  • Travel arrangements – domestic and international. Ensure the necessary approvals obtained.
  • Arrange in-house and external breakfasts, lunches and dinners according to SOP.
  • Build relationships with client assistants and executives, including PA entertainment
  • Co-ordinate client entertainment functions.
  • Prepare presentations using PowerPoint
  • Complete Travel & Entertainment reports using the online Concur system. Ensure compliance
  • Complete other administrative duties on a timely basis
  •  Alternate administrative support with the assistant of the investment banking department.
  • Assist in governance work. Schedule LMT and Outsourcing meetings. Fully responsible for the preparation of LMT meeting materials including agenda, meeting decks and scribe minutes
  • Prepare Management Report for Board meetings and submit in a timely manner
  • Analyze and report business performance for Senior Management
  • Execution and submission of recurring business reporting packages
  • Provide and manage financial analyses as required for strategic initiatives including benchmarking using Excel.
  • Assist with the design, development and the implementation of any metrics system and dashboards
  • Perform BCP test on behalf of Country Management
  • Provide support to the regional COO.
  • Participate in special projects
