Operations Manager

Job Description:

Document Imaging and Indexing (DII) receives thousands of items a day from USPS, Federal Express and United States Postal Service, plus internal mail from other banking sites that have to be sorted, received, prepped for imaging and then routed out using high capacity scanners. Manages a specific operations segment or a small operations unit of the company's operations activities . May report to a group operations manager or a Sr. Operations Manager. Involved in a variety of projects. Responsible for expense management, enterprise management, and building business/client relationships. Oversees daily activities ensuring adherence to deadlines and quality standards and adherence to procedures and regulatory requirements (e.g. client inquiries, transaction research). Develops and implements new processes/procedures to improve operating efficiency and to ensure timeliness and accuracy of workflow. Decisions impact multiple product lines, customers, and associates. Modifies existing procedures and analyzes and resolves non-routine and/or moderately complex operational problems often requiring research and involvement from other business functional experts. Requires thorough operations knowledge of specific products/ services line managed, usually gained through operations experience. Forecast / manage staffing levels and capacities. Responsible for performance management. Bachelor’s degree or comparable work experience preferred with 3-5 years supervisory experience.

Onsite Day One M-F 8:00-4:30pm

Responsibilities but not limited to:

  • Identifies, documents, and drives departmental performance to meet metrics for Safety, Quality, Productivity, and Waste standards for a specific team

  • Organizes and runs effective meetings and workshops

  • Delivers communication and drives departmental performance goals through engaging the team and ensuring understanding while equipping and empowering them with the tools and resources needed

  • Establish clear accountability for the team’s work; Drive compliance with all operational organization leaders

  • Stake holder management across functions / lines of business: Demonstrated ability to manage senior stakeholders across different groups in operations / compliance / ops risk / regulators and auditors

  • Multi-tasks effectively, work well under pressure and meets tight and changing deadlines

  • Communicates clearly, effectively and concisely, verbally and in writing, at all levels within the organization

Requirements:

  • 3 years’ experience in leading large team or process quality

  • Strong analytical and fact-based decision-making ability to meaningfully analyze and report complex data

  • Communication and Interpersonal Skills: Ability to effectively communicate and maintain communication with executive leadership and other levels

  • Sound knowledge of Microsoft Office applications, namely Excel, Word, and PowerPoint

  • Experience in carrying out thematic deep dives

  • Excellent analytical and problem solving skills, ability to demonstrate decisiveness and sound sense of judgment, knowing when to escalate

  • A self-motivated, structured and logical thinker

  • Strong assertiveness, listening, influencing and diplomacy skills

  • Attention to detail, delivering high quality output

  • Ability to work well with and communicate with others, from teammates to executives

  • Ability to juggle multiple work efforts and to quickly change direction as needed

  • Should be a team player with strong execution focus

  • Adapts to changes and has a proven track record of working as part of a global team

  • Strong presentation skills

Physical requirements/demands of Work Environment

  • Ability to constantly stand for 8 hours

  • Ability to bend and move about the production floor, to reach various parts of the production equipment, as needed, while adhering to safety and ergonomic guidelines

  • Ability to push/pull/lift up to 40 lbs. as required throughout each shift
