Job Description

This role will be our client receptionist and Administration Assistant support our 100 Federal Street office.  This role performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. Will be involved in high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.

Required Skills and Experience

  • Strong communication skills, both verbal and written
  • Strong analytical skills, able to maintain a high quality of customer service and attention to detail
  • Strong relationship building skills to communicate with internal team and executive level management to gather/convey relevant information
  • Strong executive support and knowledge of a variety of software programs (i.e. MS Outlook, Word, Excel, PowerPoint, OneNote, WebEx and SharePoint)
  • Must use considerable tact, diplomacy and judgment with confidential information
  • Minimum of 3-5 years administrative experience with a financial institution supporting Executive level management, preferably in the high net worth group

  • Greet high touch clients and Private Bank teams
  • Manage schedule and outlook calendar for our client space
  • Administrative Assistant skills for phone, email and in person communication
