Process Overview

The COO organization enables business delivery on all COO functions including strategy, workspace management, workforce governance, employee engagement, risk management, portfolio governance and integrated reporting. Additionally the team also provides support on enhanced approvals for resource requisitions, campus hiring program and global mobility.

Job Description

The EA Team provides high level secretarial and administrative support to Delivery Head and Prioritize and manages DH’s daily activities, managing their schedule, dealing with calendar issues. Also arrange travel reservations, handling expenses, making appointments, arranging meetings, organizing org level events.

Responsibilities

EA Teams providing support to Delivery /Operations team in the following areas:

  • Travel/Visits: Flight Booking, Accommodation.
  • Calendar: Managing calendar, planning agenda, fixing appointments
  • Meeting/Conference: Arranging & scheduling meetings and conference in office/outside city/abroad
  • Facility Management: Vendor Management, Employee Cab Management, Cafeteria & Housekeeping and Security Staff (Shift Management).
  • Onsite Coordination: Interacting with clients for deliverables, feedback, Knowledge transfers and trainings.
  • Taking down the minutes and circulating to the participants
  • Coordinating with the finance department about the hotel bills, vehicles, conferences etc.
  • Drive employee engagement initiative to drive partnership and positive interactions
  • Assisting the DH in day-to-day activities like flight tickets, car arrangements, hotel bookings, making arrangements for conferences and to give feedback on day to day.
  • Calendar Management , planning agenda, fixing appointments
  • Prepare communications including announcements, presentations etc. as needed
  • Transportation: To Staff, Guests and Contract workmen on daily basis as per the company policy
  • Coordinating with office internal departments and resolving their queries and concerns.
  • Arranging & scheduling meetings and conference in office/outside city/abroad
  • Facility Management: Vendor Management, Employee Cab Management, Cafeteria & Housekeeping and Security Staff (Shift Management).
  • Looking after the employees’ necessities like providing corporate stationary etc, to the Employees.
  • Maintaining staff to book flight tickets, rail tickets and hotel reservations and handling the utilities payment sector. Arrangements for Client Visits.
  • To liaison with other dependencies for a smooth joining of new hire.
  • Maintains Client Visits by arranging necessary requirements..

Requirements*

    • Education* - Any Graduate
    • Certifications If Any - NA
    • Experience* - 4 to 6 years
  • Foundational Skills - Prior EA experience is a must, Proficiency in MS Office Excel, Word, PowerPoint, Access, Calendar Management
  • Desired skills - Good communication Skills- Oral and Written

Work Timings* - 11.30 AM to 8.30 PM IST (Need to flexible as per business need)
