Leasing Documentation Specialist (Operations)

Responsible for the day-to-day resolution of complex problems and the execution of complex transactions for multiple sites or larger business unit(s), including research. Leads in the design, development and implementation of complex products, systems and services in an operations environment. Manages projects and direct activities of a team related to special initiatives of an operations nature. Functions as the technical expert in their assigned area. Major accountabilities are based on individual expertise and capabilities. Provides work direction, guidance and expertise to less experienced associates and provides training to associates and Business Partners on new and complex initiatives. Builds strong relationships with Business Partners across LOBs. Has in-depth understanding of the business unit's operations processes and implications on other groups within the operations function and other divisions within the company. Knowledge acquired through increasingly responsible operations analysis work. Clearly recognized as a content expert by peers. Bachelor degree or equivalent preferred.

Job Overview:

Prepares, negotiates and reviews master agreements and supporting documentation for various leasing products, typically under the guidance of senior staff. Facilitates communications among various parties, such as credit officers, marketing, legal, etc. in order to promptly resolve documentation issues. Has excellent analytical, verbal and written communications skills and is comfortable representing Bank of America in communications with associates and clients. Bachelor degree or 3-5 related experience preferred.

  • Accurate and timely preparation of documentation, insurance requirements, UCC’s, etc., including verification of economics of transaction, tailored to specifications and requirements of specific transactions.  Processing lease and loan transactions on DealFlo and LMS for funding and booking.  Prepare loan and lease packages including the verification of calculations, rates, signatures and dates on each document, preparing document checklists, obtaining subordination agreements and filing UCC financing statements.  Assures all documents are complete and in package prior to funding.

  • Liaison between and among Documentation Manager, Regional Sales Manager/Sales Associate, Customers, Internal Groups, and Vendors regarding transaction status, receipt of executed documentation, supplier invoices, lien searches, researching and clarifying information and problem resolution.

  • Responsible for building and maintaining strong relationship with assigned Sales Associates and Customers regarding documentation and relationship issues and handling of Customers’ inquiries and concerns.

  • Communication with suppliers regarding invoice-funding status, purchase order and account reconciliation.

  • Accurate and timely processing of transactions to Imaging and Operations Departments.

  • Proper maintenance of pending files, including documentation, UCC’s, insurance and follow-up for UCC, titles and other documents.

  • Creation and maintenance of internal and external reporting requirements.

  • Performance of maintenance on current portfolio as needed.

  • Completes various projects as assigned by Manager.

  • Ability to set priorities, meet aggressive production goals and deadlines, manage multiple transactions, tasks and projects efficiently and simultaneously in a fast paced environment with minimal supervision. 

  • Ability to work independently and exercise good judgment with little or no supervision.

  • Ability to achieve aggressive production goals and to deliver effective, responsive service to Customers.

  • Consistent follow up techniques.

  • Strong mathematical abilities.

  • Excellent verbal and written communication skills.

  • Possess excellent organizational skills, the ability to prioritize, and be detail oriented.

  • Working knowledge of UCC Uniform Commercial Code and Insurance requirements.

  • Knowledge of personal computers including word processing and spreadsheet software with typing ability.

  • Strong interpersonal skills including proper telephone techniques
