Job Title: Executive Administrator

LOB: Global Risk / International Regulatory Relations, Issues Management and GRM Governance & Strategy

Corporate Title: Officer

Location: London

A brand new opportunity has become available for an Executive Administrator to provide executive administrative support to the International Head of Regulatory Relations, International Governance & Strategy and Issues Management Executive and the International Risk COO. This opportunity will provide exposure to Risk Executives across the EMEA / APAC regions and senior management both globally and regionally.

Responsibilities:

  • Calendar management for three Executives

  • Performs moderately complex administrative duties

  • Reviews drafts and finished documents (in both Word and PowerPoint) and edits for grammar usage and style

  • Prepares presentation materials; arranges meetings, conferences and premise / phone moves

  • Handles highly sensitive information

  • May coordinate department training and monitor security / database administration and compliance

  • Schedules travel and related accommodation, orders supplies and performs other duties

  • Understands and serves as resource for basic company policies and procedures such as vacation and expense reimbursements

  • Coordinates the updates of EMEA Risk Organisational Charts

  • Supports team members of the 3 executives across the EMEA region on various agreed as well as adhoc tasks (including scheduling Regulator meetings/Large scale meetings, risk committee meetings, assisting with the processing of expense reimbursement and other administrative matters,  etc.)

The Team:

The team is made up of  24 employees located in London, Dublin, Paris and Hong Kong and is split into 3 sub teams:

GRM International Governance & Strategy - The Governance & Strategy team plans, oversees, and executes Management and Board level risk governance routines. The team provides support for the Chief Risk Officers (CRO) in region, this includes the drafting of the CRO Memo which is reviewed at the Board Risk Committees on a quarterly basis. The team manages meetings and relationships with all international boards.

International GRM COO - Direct support to the Executives in the International locations. Drive and co-ordinate the organization in the following areas:

  • Business Operations

  • Business Controls

  • Project management

International Regulatory Relations - Provide International Regulatory Relations support and services including:

  • Relationship, supervisory interaction, exam and enquiry management

  • Regulatory expertise and intelligence

  • Exam, inquiry and meeting reporting (regional, country and legal entity levels)

Core Skills:

  • Experience of supporting multiple Executives

  • Advanced Knowledge of Word, Excel and PowerPoint

  • Excellent organisational skills

  • The ability to prioritise, use initiative and work under pressure

  • Good eye for detail

  • Good communicator with an excellent telephone manner in order to deal with demanding calls, senior management and multiple priorities
