Administrative Assistant III

Job Description:

The Administrative Assistant in this position will provide onsite support to GBAM Compliance and Operational Risk by performing various support functions relieving team of administrative details.  Such support functions include gathering, compiling and reporting information relevant to/for team and managing a number of different and often conflicting objectives, projects or activities at one time.  Will be exposed to confidential and sensitive information, and must use considerable tact, diplomacy and judgment. The ideal candidate will not only be responsible for administrative support, but also have a willingness to learn, be resourceful and independent.  They should be a self-starter with excellent follow up skills.

Leads administrative functions for multiple senior level executives as well as provide support to members of their teams. Functions may include: coordination of travel and meetings, processing of expenses, supply and facility management, on boarding/off boarding employees, ordering necessary technology, managing and securing space for visitors, creation and editing of presentations, supporting materials and reporting and special projects as needed.

Additional responsibilities for this role include:

• Heavy phone coverage, calendar management, travel scheduling and expense processing

• Communicating and interacting internally with all levels of the group and across business functions

• Coordinating internal/external meetings (including scheduling telepresence meetings) and conference calls

Required candidate skills/qualifications:

• 5+ years administrative support experience

• Professional presence and approach

• Proactive attitude with ability to stay focused and maximize time efficiently

• Solution oriented and resourceful

• Thorough knowledge of Outlook and other MS Office programs; strong PowerPoint skills are a plus

• Strong communication, time management and organizational skills

• Concur or similar experience processing travel and expenses

• Ability to learn quickly and take on
