Executive Assistant

Job Description:

Provide administrative support to the Consumer & Small Business Legal Department Executive-Deputy General Counsel and locally based department teammates.

General Description: Performs diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. Communicates with executives and line management to gather/convey relevant information. Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.

Responsibilities will include, but not limited to:

  • Supports Executive(s) with high energy, confidence, and exceptional work quality while also providing indirect support for the Executive’s staff

  • Performs diverse, advanced and confidential administrative support, robust scheduling for high-level executive meetings, off-sites, conferences, and tours; includes creation of agendas and material preparation

  • Relieves management of administrative details; anticipates executive’s needs then gathers, compiles and reports information

  • Typically manages varied and conflicting objectives, projects or activities simultaneously

  • Coordinates schedules, agendas, and travel to maximize time and create efficiencies

  • Assists with on-boarding of employees and contractors while also coordinating employee events

  • Responsible for contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment

  • Manage planning and approvals related to travel, expense, supplies, technology, access (related to both physical building entry and virtual systems use), and other areas as needed

  • ‘On stage’ presence throughout the work area, including phone calls with a diverse audience of senior executives, team members, vendor partners, and external contacts

  • Candidate should anticipate working until 5 pm ET, in-office, on a business-as-usual day

Required Skills & Experiences:

  • Must have strong MS Office skill (Word, Excel and PowerPoint) especially in document reformatting/design

  • Very strong Outlook Experience

  • Knowledge of Bank systems, processes, programs, and policies

  • Ability to manage calendars, meetings, and phone calls with a proactive, predictive approach

  • Ability to anticipate potential conflicts or issues and resolve with little or no involvement from executive

  • Good communication skills, both written and verbal, with attention to detail and the facility to summarize key facts

  • Excellent organizational skills required

  • Strong time management skills

  • Self-motivated and customer centric

  • Strong interpersonal skills with a go-getter attitude

Desired Skills & Experiences:

  • Prior experience supporting a large team in a fast-paced environment

  • Bachelor's degree
