Adminstrative Assistant

Job Description:

Performs diverse, advanced and confidential administrative support functions for executive members of the Global Financial Crimes Compliance and Operational Risk team. Relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different (and potentially conflicting) objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be involved in high-level executive contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.
Provides high-level administrative support to multiple Global Financial Crimes Executives. This role provides calendar support, phone coverage, expense processing and travel arrangement support. Coordinates internal/external meetings and conference calls as well as schedule Telepresence. Gathers, compiles and reports information relevant to/for department; manages a number of different objectives, projects or activities at one time. Will also perform some duties in support of the overall Global Financial Crimes Compliance and Operational Risk team; including scheduling of regulator routines and ongoing supervisory interactions. Communicates with executives and front line management to gather or convey relevant information. May be involved in high-level executive contact and exposure to sensitive information. Must use considerable tact, diplomacy and judgment when interacting with people from a variety of departments and business coverage areas across the Enterprise.

Required:

  • 5+ years experience as a Senior Administrative Assistant or comparable role
  • Demonstrated ability in either current or prior positions to interact with senior level executives
  • Experience supporting more than one executive with demonstrated ability to manage multiple & competing priorities
  • Ability to work independently, multi–task, manage time wisely, handle confidential and sensitive material with highest degree of integrity
  • Strong executive presence; superior interpersonal communications skills
  • Advanced proficiency/knowledge of Microsoft Outlook, Word, Excel, PowerPoint
  • Excellent attention to detail and organizational skills
  • Proactive attitude with ability to stay focused and maximize time efficiently
