Business Unit Overview:

This role is a fantastic opportunity for a talented individual to join our Legal Department. The Legal Department is led by the Global General Counsel who is responsible for managing the legal affairs and risks of the company. There are approximately 175 legal associates across the EMEA Region.

Role Overview:

The Legal team is recruiting for a Dublin based Senior Legal Administrative Assistant who will provide support to our Dublin based Legal and Corporate Governance teams, including the Dublin general counsel (currently team of 7).  It is important to note that adjustments may be made to the work allocations dependent on workflow and support demands.

This position works closely with the EMEA Legal Business Support Manager who is based in London.  As well as the Dublin position there are 13 London-based and one Paris-based Senior Legal Administrative Assistants providing support to our EMEA Legal and Company Secretary (CoSec) teams.

Key Responsibilities:

  • Extensive diary management using Outlook and room bookings.

  • Produce letters, memos, presentations and spreadsheets.

  • Answer the telephone and filter calls, take accurate messages and deal with general enquiries; flagging critical items and messages.

  • Arrange travel and travel itineraries for team and for overseas visitors.

  • Capturing and submitting of expenses using the Concur internal system.

  • Invoicing – both law firm and other providers.

  • Assist with any ad-hoc projects for the teams and wider Legal Department.

  • Producing comparite documents.

  • Marking up documents, typing, copying, scanning and printing.

  • Log IT issues and ensure issues are resolved.

  • Covering for other admins during absences and assisting with work overload.

  • Assist in maintaining calendar for internal and external directors and corporate secretary, including calendar for Board meetings

  • Assist in the preparation of Board packages and other documentation for distribution to directors and senior management, including formatting, preparation of printed materials, distribution of documentation and other documentation related tasks.

  • Assisting with logistics and other arrangements for Board meetings.

  • Assist with management of SharePoint sites.

Knowledge / Experience:

  • Experience within a large financial services firm or law firm is preferred.

  • Good calendar management skills.

  • Flexibility – the capacity to work flexibly adjusting own priorities in order to provide optimum and effective support.

  • Show adaptability and agility to new situations.

  • Excellent prioritisation and organisational skills.

  • Ability to work calmly in a high pressure environment.

  • Ability to communicate effectively with senior executives and their support teams both in verbal and written forms.

  • Proficient in the use of Microsoft Outlook (Word, PowerPoint and Excel).
