Business Support Manager - Global Architecture, Sales and Trading Technology COO Team

Job Description:

Manages diverse administrative functions usually for a very large, complex department or business unit. Functions managed may include: financial control/budgeting and consolidation, personnel processes, audit/compliance, premises, and coordination of certain projects, associate training, service quality, process improvement, business continuity, or communication. May consult with senior management to define and manage projects that encompass and impact many associates. Requires a thorough knowledge of the department or business unit's functional area or products. Working knowledge of general bank policies, programs and procedures and financial/accounting practices. May have full management responsibility over a team or may manage one level of managers.

GTASC IT Business Support Manager

We are seeking a business management resource to provide hands-on support in financial, workforce and operational management. The business support manager will report to the COO as part of the central COO team for a technology organization supporting 1200+ resources globally.

Financial Management:

Day to day interaction with COO and division leads. Responsible for full P&L management including but not limited to:

• Forecasting

o Meeting with team leads/ delegates to ensure resources are aligned to funded work efforts in the organizational forecasting system

o Detailed tracking of project/program financials including financial governance of said programs, establishing a communications routine with service providers to ensure they are in line with funding

o Strict monitoring of forecast vs. actuals, ensuring current burn-rates are in line with year-end targets

o Participating in quarterly corporate forecast/budget cycles, building a top to bottom P&L for supported organizations.

• Third Party Vendor Management/Non-Personnel Expense Management:

o Manage contracts (including renewals and terminations) and P&L impact in book of record systems(working knowledge of accruals necessary

• Travel & Expense Management

o Ensure teams are forecasting to mandated T&E targets and in line with Enterprise Policy Standards

o Communicate any reductions to T&E targets and ensure teams come in line

Workforce Management:

• Recruiting & Hiring

o Manage recruiting and hiring process in line with forecast

o Work with hiring managers and staffing partners on job posting creation, interview coordination, offers and onboarding

o Create and track requisitions in enterprise system of record (WPT)

o Establish communications routine with hiring managers to track progress and manage requisitions

o Provide accurate reporting on hiring progress

• Employee Engagement

o Implement initiatives to drive employee engagement and coordinate team-wide events

• Location Strategy

o Support the strategic planning involved with Location Management, privacy wall and move coordination

Operations & Communications:

o Management and delivery of central communication initiatives

o Training and compliance reporting

o Survey reporting

o Monthly accomplishments submission to communications lead

Ad-hoc requests as required:

The business management team is routinely required to synthesize information and send to upper management. As such, the candidate should be able to quickly become familiar with enterprise systems and be able to create accurate reports as needed under tight deadlines.

Skills/Qualifications:

Must Haves:

o Advanced Excel user with knowledge of pivots, vlookups, logical tests (if, sumif, sumifs) etc.

o Experience with reporting in Excel (Graphs, Financial Schedules)

o Experience with managing an internal expense P&L

o Working knowledge of accrual accounting

o Strong familiarity with PowerPoint and SharePoint

o Interpersonal skills and communication skills at all levels in an organization

o Planning, time management, and resource management skills

o Strong leadership and relationship management skills

o Ability to establish/maintain a strong controls environment regarding financials/workforce

Desired, but not necessary:

o Familiarity with VBA/Macro automation experience and PMP certification
